Did you know you can bulk update data in D365 with a simple copy and paste? We'll show you how.

The only requirement for doing so is that the field or fields to be updated must logically be editable in the form.

First, we go to any form in D365 for which we want to update data. In this example, we'll use the standard purchase order form:

The next step to use this functionality in the most optimal way would be to create a view with the field that will be key in the table (in our case it will be the purchase order and we leave the Purchase Order Status for control) and those fields that you want to update with the filters you want (in my case I have left the Delivery Mode and Customer Reference fields for open orders):

Once this change is made, the view could be saved for future updates:

Once saved, the next step would be to export the data to Excel using the standard functionality and download the file:

Once the information has been exported to the Excel spreadsheet, you can modify the cells corresponding to the fields you wish to modify, ensuring that the order of the key field (in this case the Purchase Order) is the same as in D365 and the filters are the same as in D365:

Once this is finished, the last step would be to enter edit mode in the D365 form:

Finally, making sure to click on the first row of D365 will copy and paste all the information from the Excel sheet. (without selecting the first header row of the data):

As observations, two things must be taken into account:

  • First, the system will show you a confirmation message to save the changes:

If we see it correctly, we will click on the save button and the data will be updated.

  • If the field or fields we are updating affect another linked table (in my case I am updating the delivery mode of the header of 3 purchase orders, 2 of them with lines) the system will show the standard confirmation message of dragging the header information to lines (1 time for each record being updated):

Once completed, the data will be updated:
